Challenges
Important details lost between calls
Landvisors advises clients on land and property decisions where every detail matters: budgets, preferred locations, timelines, zoning questions and the exact wording of what was agreed on a call. Advisors were on the phone for most of the day, and notes were written up afterwards, if at all.
When a client called back a week later, the advisor who answered often had no record of the earlier conversation and had to ask the same questions again — frustrating for the client and a poor use of the advisor’s time, especially on decisions that already involved several calls over several weeks.
Advisors tried different ways of keeping personal notes — a notebook by the phone, a shared spreadsheet, a quick email to themselves after a call — but none of it was consistent enough for anyone else on the team to rely on, and details that mattered months later were often the first to get dropped.
Handovers between advisors were worse. If the advisor who originally spoke to a client was unavailable, whoever picked up the phone next was starting from nothing, which made Landvisors look less organised than its advice actually was.
Front-line calls competed with deep advisory work
Advisors were also fielding a steady stream of simple enquiries — availability of a listing, general process questions — that pulled their attention away from the advisory conversations that actually needed their expertise and their full focus.
Jamal, Tech Lead at Landvisors, wanted a single, reliable record of every client conversation, without adding a note-taking task that advisors would skip the moment they got busy, which is what had happened with every manual system the team had tried before.
There was also a quieter cost to the old way of working: advisors who were naturally organised kept better notes than those who weren’t, which meant the quality of a client’s experience depended more on which advisor they happened to reach than it should have.
Solution
Setting up Cypher N from the dashboard
Landvisors connected its client lines to Cypher N through the Cypher LM dashboard, so every inbound and outbound call would be transcribed automatically with no extra step for the advisor on the call.
The team configured what each summary should capture — budget, location preferences, timeline, and any commitment made on the call — and connected Google Docs so summaries save straight into the team’s shared client files instead of sitting in a separate app nobody opens.
Jamal’s team ran the setup for a couple of weeks alongside the advisors’ own notes before switching over fully, comparing the two to make sure nothing the advisors considered important was being left out of the automated summaries.

Every client call is now transcribed and turned into a clear summary with key details and action items, ready for the advisor — or whoever picks up next — as soon as the call ends, with no manual write-up required.
Advisors can scan a summary in under a minute before returning a client’s call, which means every conversation now starts from where the last one left off instead of from zero, even if weeks have passed since the client last called in.

One shared history for every client
Summaries and key details are attached to each client’s record in Cypher C, so anyone on the team can see the full history — every call, every commitment, every open question — before picking up the phone.
That shared history has made it far easier for one advisor to cover for another without the client noticing a gap, since the covering advisor can read exactly what was discussed and agreed instead of asking the client to start over.
It has also made it simpler for Jamal’s team to see, across the whole client base, which enquiries come up most often, which has started to shape what the team proactively explains to new clients before they even have to ask.
Calls answered even when advisors are busy
Cypher V answers when every advisor is already on another call, greets the client, collects what they need, and hands it straight to the team with a summary attached, so no enquiry sits unanswered until the next day.
Simple questions — availability, next steps in the process — get handled immediately by Cypher V, which frees advisors to spend their calls on the advisory conversations that actually need their judgment.

100% of client calls logged automatically
Every client conversation at Landvisors is now recorded, summarised and searchable, with no manual note-taking required from any advisor.
Clients never have to repeat themselves, and whoever answers the phone — the original advisor or a colleague covering for them — has the full picture before they say hello.
More time for advice, less time on admin
Advisors now spend their time advising rather than reconstructing old conversations, and Jamal’s team spends less time fielding the same basic questions, since those calls are increasingly handled by Cypher V from the start.
The complete call history has also made it easier for Landvisors to pick up a stalled decision months later, since the full context of earlier conversations is still sitting in the client’s record rather than in an advisor’s memory.
New advisors joining the team now ramp up faster too, since reading through a client’s call history in Cypher C teaches them what a good advisory conversation sounds like far more directly than a training document ever could.
Jamal has also started using the pattern of recurring questions across client summaries to shape what goes into Landvisors’ own client-facing guidance, catching gaps in explanation before they turn into a string of similar calls asking the same thing.
Clients working through a long-running land decision — one that stretches over several months and many calls — have told advisors they notice the continuity, even if they don’t know exactly why the team always seems to remember where things stood.
The team has also found a secondary benefit in the Google Docs integration: when a decision eventually closes, the full record of how it got there sits in one document, which has turned out to be useful when a client later asks for a recap of everything that was discussed and agreed over the life of the engagement.
Advisors covering for colleagues who are on leave have told Jamal that the shared history is the single biggest reason those weeks go smoothly now, compared with how disruptive a colleague’s absence used to be when client knowledge only lived in one person’s head.
Jamal’s team has started treating the volume and kind of calls Cypher V handles directly as a rough indicator of where client demand is heading, giving the business a read on which services to lean into before that shift shows up anywhere else in the numbers.
The switch also changed how Landvisors talks about itself to prospective clients during the sales process, since the firm can now point to a complete, consistent call record as part of what sets its advisory service apart from smaller competitors who still rely on an advisor’s memory and a notebook by the phone.
Looking back, Jamal says the hardest part of the rollout wasn’t the technology but convincing a few long-serving advisors that a reliable written record would make their own work easier rather than more exposed — a worry that mostly disappeared once they saw how much time it saved them on their very first repeat client call.
Jamal’s advice to other advisory teams: decide upfront exactly which details every summary should capture, so the records stay consistent no matter which advisor or client is on the call.
He also suggests treating Cypher C as the team’s single source of truth for a client rather than a backup to personal notes — once advisors trusted the record was complete, they stopped keeping their own parallel notes altogether, which is what made the switch stick.
For a team whose business depends on clients trusting that their details are being taken seriously, having a complete, consistent record of every conversation has become part of how Landvisors presents itself, not just an internal efficiency gain.
Advisors have also noticed that clients seem more at ease on repeat calls, since nobody is scrambling to remember what was discussed last time, and the conversation can move straight to what has changed since then.
That early resistance is part of why Jamal now tells other teams to expect a short adjustment period rather than instant buy-in, and to let the time savings speak for themselves once advisors experience the first client call that starts from a complete record instead of a blank page.
