How to connect your Google Calendar

Updated Oct 8, 20263 min read

Quick answer

To set up your Google Calendar:

  1. Go to Settings › Integrations.
  2. Select Connect next to Google Calendar and sign in to Google.
  3. Open Bookings › More actions › Hours.
  4. Choose a calendar under Add bookings to and tick calendars under Check these calendars for conflicts, then save.

Connect your Google Calendar to Cypher LM so your agents check your real availability during a call, never offer a time you are already busy, and add every new booking to your calendar with the customer invited. Video bookings also get their own Google Meet link.

Connect your Google Calendar to Cypher LM

  1. Go to Settings › Integrations.
  2. In the Google card, find Google Calendar and connect it:
    • To connect only your calendar, select Connect next to Google Calendar.
    • To connect every Google service at once (Calendar, Meet, Gmail, Docs, Sheets and Drive), select Connect Google. If some are already connected, the button reads Connect the rest.
  3. Sign in to the Google account that holds your work calendar and allow the requested access.
  4. You return to Cypher LM, and Google Calendar shows as connected.

If you signed up for Cypher LM with Google, you still need to connect the calendar here: signing in and granting calendar access are separate permissions.

Choose how Cypher LM uses your Google Calendar

After connecting, tell Cypher S where bookings go and which calendars to respect. These settings live with your booking hours.

  1. Open Bookings, select More actions (the three dots next to the header) and choose Hours.
  2. Scroll to the Calendar section.
  3. Set Add bookings to. Choose Main calendar to add every booking to your Google Calendar, or Cypher LM only (no Google Calendar) to keep bookings in the dashboard only.
  4. Under Check these calendars for conflicts, tick each calendar whose busy times should block bookings, for example your personal calendar and a shared team calendar.
  5. Save your changes. You see the message Availability saved.

Calendar to add bookings to

When Main calendar is selected, each booking is created as an event in that calendar with the customer added as an attendee, so they receive Google's invitation too. Busy times in this calendar are never offered, and video bookings get a Google Meet link.

Calendars to check for conflicts

Busy times in any calendar you tick are never offered, wherever bookings are added. Events marked as free in Google Calendar do not block time. The What callers will be offered preview in the same drawer shows the next free times after your hours, bookings and calendars are combined.

Not sure which calendars to tick? Include every calendar where you put commitments that should stop a customer booking you: your own work calendar, a personal calendar you share with your work account, and any team calendar that holds leave or site visits. Leave out calendars that only hold reminders or birthdays.

If Google asks you to reconnect

Google sometimes stops accepting an app's access, for example after a password change or when access is revoked in your Google account. When that happens, Cypher LM shows a Reconnect Google. banner explaining that bookings, emails, your call-log sheet and notes doc are paused.

  1. Select Reconnect Google in the banner.
  2. Sign in to the same Google account and allow access again.
  3. Bookings resume where they left off. Bookings that could not be added while access was paused are retried automatically.

Google Calendar can be set to add a Google Meet link to every new event you create. Cypher LM already adds Meet links to bookings whose appointment type is a Video call, so if you also see Meet links on in-person or phone bookings, they come from your own Google Calendar setting. You can change it in Google Calendar's settings under event settings; on a managed Google Workspace account, your administrator may need to change it.
