How to import knowledge from Google Docs and Drive

Updated Oct 8, 20263 min read

Quick answer

To import from Google:

  1. Open your agent and select Knowledge.
  2. Select Import from Google.
  3. Pick a file from Drive, or paste a Docs, Sheets or Drive link.
  4. Select Import. Later, use Resync from Google to update it.

If your FAQs, menus or price lists already live in Google, you don't need to download and re-upload them. Import them straight into your agent's knowledge, and resync when you edit the original so your agent always answers from the latest version.

What you need

Google Docs

A Docs link is enough. Connecting Google Drive lets you browse instead.

Google Sheets

PDF, Word (.docx), text and CSV files in Drive

Files over 4 MB can't be imported and show an Over 4 MB badge when you browse.

Importing is a good fit when several people keep a document up to date, for example a shared price sheet. Your team keeps editing it in Google as usual, and a resync brings the changes into your agent.

Connect Google

  1. Go to Settings › Integrations.
  2. On the Google card, select Connect next to Google Docs and Google Drive (or Connect Google to connect everything at once).
  3. Sign in to Google and allow the access you're asked for.

You can also connect from inside the import dialog: it shows Connect Google if you haven't connected yet, and Reconnect Google if access has expired. See How to connect Google Workspace.

Import a file

  1. Go to Agents, open the agent and select Knowledge.
  2. Choose where the file should go: This agent's knowledge or Shared knowledge.
  3. Select Import from Google.
  4. Search your Drive and pick a file (select Load more to see more), or paste a Google Docs, Sheets or Drive link.
  5. Select Import. The file appears in your knowledge list.
  6. Use Test a question to check the agent answers from it.

Keep imported files up to date

  1. Edit the original document in Google as usual.
  2. In Knowledge, open the imported file's menu and select Resync from Google.
  3. You'll see that the file was updated from Google, or that it is already up to date.

When browsing Drive, files you've already imported show Imported · update, so you can refresh them from the same dialog. Cypher LM also checks imported files for changes in the background, but resync after an important change to be sure.

Remove an imported file

Delete the file from your agent's knowledge as you would any other file. The original stays in your Google Drive.

Imported files count toward your plan's knowledge file limit in the same way as uploaded files, and they can be placed in folders and moved like any other file. A Google Sheet works best when its first row holds clear column headers and each row covers one item, such as one service with its price.

Common questions

Can my teammates see my Google files?

Cypher LM only imports the files you choose. Their content becomes part of your agent's knowledge, which teammates with access to the agent can see in the Knowledge tab.
