User roles and permissions

Quick answer

To change what someone can do:

  1. Go to Settings › Team & roles.
  2. Find the person in the member list.
  3. Choose a different role: Manager, Front desk or Sales rep.

Every person on a Cypher LM account has a role. The role decides which parts of the dashboard they see and what they can change. Use the narrowest role that fits each person's job: it keeps the dashboard simpler for them and protects sensitive areas such as payments and billing.

The four roles

Role

In the dashboard's words

Owner

Everything, including plan, billing and deleting the account.

Manager

Build and edit agents, listen to calls and export data.

Front desk

Up next, today's calls and their own follow-ups. Can view agents, make test calls and mark meeting outcomes. No money anywhere.

Sales rep

Their assigned agents' calls, follow-ups and campaigns. Can edit the Job and Knowledge of their own agents.

There is one owner per account: the person who created it. Everyone else is invited as a Manager, Front desk or Sales rep.

How roles change Settings

Settings shows only the groups a person's role allows:

  • Account (Profile, Business, Your setup, Appearance, Notifications, Security) is available to everyone for their own login.
  • Plan (Usage & plan, Billing history) appears only for roles that manage billing.
  • Data (Integrations, Privacy & data) appears for roles that manage the account's connections and exports.
  • Team (Team & roles) appears only for roles that manage the team.

If a teammate tells you a page is missing, it is usually their role, not a bug.

Change someone's role

  1. Go to Settings › Team & roles.
  2. Find the person in the member list.
  3. Choose the new role. For Sales rep, tick the agents they should handle.
  4. The change applies the next time their dashboard loads.

Notifications and appearance are personal: each teammate chooses their own theme, language and email alerts in their own Settings, and those choices do not change anyone else's.

Picking the right role

  • A clinic's receptionist who confirms today's appointments: Front desk.
  • An operations lead who tunes agents and reviews calls: Manager.
  • A salesperson who runs follow-up campaigns for one product line: Sales rep with that line's agent.
  • A business partner who needs to see revenue and change the plan: keep this with the Owner, since billing cannot be delegated.

When in doubt, start with the narrower role. It is quick to give someone more access later, and they will not see screens they do not need in the meantime.
