Automations overview

Quick answer

To review your automatic emails:

  1. In the sidebar, select Automations.
  2. Open the Emails tab.
  3. Switch each email for calls, bookings, payments and follow-ups on or off.

Automations is where Cypher LM does things for you after a call, booking or payment: it sends emails, keeps track of follow-ups and, as they open up, connects to other tools. You find it in the Insight & automation group of the dashboard sidebar.

The page has five tabs. Some are live today and some are labelled as previews or coming soon, so you always know what is running.

Emails

The Emails tab groups the automatic emails by what triggers them: Calls (a recap after every call), Bookings (a booking confirmation and a reminder 24 hours before), Cypher P (a receipt) and Follow-ups (a digest).

  1. Go to Automations and open Emails.
  2. Switch each email on or off.
  3. For emails sent to you, such as recaps, use the link to Settings › Notifications, where those switches live.

When Gmail is connected in Settings › Integrations, emails to your customers go out from your own inbox.

Follow-ups

Cypher N picks out action items from calls and meetings. The Follow-ups tab lists them so nothing slips. Ticking an item here also ticks it in the meeting note, and the other way round.

  1. Open Automations › Follow-ups.
  2. Review the open items and who owns each one.
  3. Mark an item done when it is handled.

Developers

The Developers tab will hold API keys, webhooks and the MCP server address for connecting AI tools. Developer access is in beta and is not open to accounts yet: the create buttons stay disabled until it is. If you need it now, contact sales. See Connect Cypher LM to your AI tools.

Apps

Google and Stripe are connected live: Google through Settings › Integrations and Stripe through Cypher P › Settings. The other apps on this tab, such as Outlook, HubSpot, Salesforce, Zapier, Slack and Twilio, are previews with sample data and nothing there runs yet.

Workflows

Workflows aren't live yet. The tab shows the first ones being built, such as appointment reminders, rebooking no-shows and an alert when a caller sounds frustrated. Their switches stay off until they are ready.

What runs today, end to end

Here is what Cypher LM already does automatically for a typical booked call, with the right switches on:

  1. A caller books an appointment with your agent. The booking confirmation email goes to the customer.
  2. Cypher N writes the call recap and emails it to you.
  3. Action items from the call appear in Automations › Follow-ups.
  4. About 24 hours before the appointment, the customer gets a reminder asking them to confirm, or a confirmation call if a phone number is connected.
  5. If the agent took a payment, the customer can get a receipt by email.

If one of these steps doesn't happen, check its switch on the Emails tab first, then check that Google is connected in Settings › Integrations if the email should come from your Gmail.
